This article will outline how to create recurring purchases and fees for your school or district. Recurring purchases are often items like after-school care, club dues, or tuition payments.
After you have logged into Script with your existing account, take a look at the menu on the left-hand side of the page. On that list, select "Payments."
Here you'll see a page of your existing Parent Purchases. Click the "Create Parent Purchase" button in the top right corner. If you have not created any fees yet, you will instead see a button in the center of the page that says "Create Parent Payment."
Creating a Recurring Fee:
Select "Recurring Fee" on the right-hand side of this page. If you would like to learn more about how to build a one-time fee, you can find everything you need here.
Enter the details of this recurring fee. Take note of the rate unit you choose (hour, day, week, etc.). You will be able to edit each student's financial responsibility by instance later on.
Next, add a payment period. To do this, click the "+" icon near the top right.
Set the payment period details. For example: this is a recurring fee for aftercare. I may choose this Monday as the beginning of the payment period and this Friday as the end. This allows me to bill each of the students who used aftercare this week.
The Payment Due Date will be published to the parent or guardian as the final date they are expected to pay the amount owed.
Now, add the applicable students. This can be done either individually or by a group.
From this list of students, you can edit the details of a recurring fee by selecting the three dots on the far right-hand side. By selecting this and choosing "Edit," you will be able to add the number of instances (by whatever rate you chose earlier - hour, day, week. etc.) to this billing cycle for each student.
Once you have added the number of instances to each student, all you need to do is make this recurring fee "live." To do that, select "Bill Now," reviewing the details, and choosing "Bill Now" again.
Progress & Updates:
Now that your recurring bill is live, parents of the included students will be notified via email and see it on their To-Do List within the Script Parent App and Parent Dashboard.
Once a billing period is live, you cannot make changes to the dates or cost but you can add students to this billing period, remove students from this billing period (as long as they have not yet paid), and adjust the number of instances for each student. Let's say you have a student who participated in aftercare an extra day this week - you can edit the number of days that student's parent or guardian will be billed for.
If you need to make changes to this fee for new billing periods, you can go back to it and click "Edit Template." If you need to make changes to existing billing periods that have not yet been billed, you can edit them by clicking the three dots on the right-hand side of that billing period.
